Medecision is looking for an Executive Administrative Assistant, a passionate power contributor who blends solid planning, organizational, and administrative skills with proven executive level support experience in a fast-paced environment. 




You, as the Executive Administrative Assistant, will take on a variety of roles, working with a group of inspiring and fun loving people in an innovative and dynamic environment. Your ability to adjust in response to changing work situations, to accommodate different working styles, and to prioritize your own work and tasks will be critical to your success.


This Executive Assistant role will support Executive Vice President and Chief Technology Officer, Chief Information Officer and SVP Engineering. This role will be responsible for key executive administrative support to our dynamic leaders and their senior level leadership team. The right individual will be responsible for the executive calendars, travel plans, team meeting arrangements, documentation of meetings and expenses, and other tasks as assigned. This position will also include client interfacing such as the arrangement of high level customer meetings both onsite and offsite. This individual will also work alongside the executive leadership team’s assistants when coordinating events and other projects as directed by the executive administration team. While this position is an in-office position, much of the working relationship with the CTO, CIO and SVP will be remote due to their high travel and remote work locations.

  • Complex calendar management (day to day, fiscal year planning, and time management) on an ongoing basis and the ability to prioritize calendars based on the business needs to ensure accurate scheduling of multiple leaders.
  • Communicating with the entire group on key accomplishments and successes
  • Management of domestic travel logistics and trip preparation for multiple leaders.
  • Managing expense reports.
  • Thorough meeting and event planning and management for both onsite and offsite locations from 10-50+ people; includes SharePoint site, meeting requests, booking rooms, catering, agendas, notes.
  • Provide leadership and mentoring to other administrative support staff.
  • Coordinate other administrative projects as assigned or as necessary.
  • Ensure compliance of administrative operational policies and procedures.
  • Identify, recommend, and implement solutions to departmental operations process issues.
  • Assist with preparation of correspondence and high level presentations.
  • Demonstrate a high level of integrity and ability to maintain confidentiality of highly sensitive material with tact and professionalism.
  • Lite project management and other various administrative tasks as necessary.

  • 10+ years of relevant, senior level administrative work experience.
  • Proficiency with Microsoft productivity software including, Word, Outlook, PowerPoint and Excel, SharePoint.
  • Possess excellent written and oral communication skills.
  • Demonstrated customer service abilities and strong written and verbal communication skills.
  • Effectively implemented and monitored complex plans and schedules.
  • Proven experience making good, timely, decisions in relatively complex situations.
  • Reacted with appropriate urgency to situations and events that require quick response.
  • Taken effective action without having to know the total picture.
  • Efficiently and creatively solved difficult problems that affect people within your group or other related groups and the ability to represent the ELT and the organization effectively.
  • The ability to deal with ambiguity and work independently to achieve results with a high degree of accuracy.
  • The ability to work effectively under pressure, within short time constraints, and with the appropriate level of urgency.
  • A proven, proactive approach to anticipating the executives’ needs.
  • Ability to support executive leaders with high travel and remote work locations.
